SAP for Supervisors


PA20 – Display HR Master Data

Have you ever needed access to an employee’s personal information such as hire date or rate of pay?

Do you need an employee’s assignment number, position number, or date of birth?

Using SAP transaction PA20, you have access to the following types of information (or infotypes) on your employees:

  • Actions (0000) – personnel actions such as new hire, change in pay, etc.
  • Organizational Management (0001) – position number and title, type of employee, time administrator
  • Personal Data (0002) – name, birth date, etc.
  • Planned Working Time (0007) – work schedule rule and FTE
  • Basic Pay (0008) – hourly or monthly pay rate
  • Monitoring of Tasks (0019) – date an employee may begin to take vacation
  • Date Specifications (0041) – hire date, vacation accrual date
  • Time Quota Compensation (0416) – FLSA or vacation payouts
  • Quota Corrections (2013) – corrections made by HR to an employee’s leave balance
  • Staff ULP (9001) – number of increases and counter towards next one

Tip: A good indicator that the infotype contains data is the green check mark.

Instructions:

  • Log into SAP Portal
  • Click on the SAP Easy Access tab
  • Enter PA20 in the white transaction field box (between Menu and System) and hit Enter
  • Enter your employee’s Texas State ID number in the Person ID field

Tip: If you do not know the Texas State ID, click in the Person ID field and then the matchcode icon to the right. This gives you a box to search by name.

  • Select an infotype by highlighting the row
  • Click “Overview” for a historical summary
  • Click “Display” for details on a specific record

Caution: Many employees have multiple Personnel Assignments so be sure you are looking at the correct one as indicated in the top right of the heading.
